Role description:
The Program Document & Reporting Coordinator will support large global real estate programs across program documentation, reporting, governance, coordination, and stakeholder communication. Based in India, the role requires flexibility to support a global delivery model.
Role accountabilities:
* Create, update, and govern program documentation for strategic projects, ensuring alignment with business objectives and real estate initiatives.
* Translate approved project scope into clear project briefs and manage ongoing updates in partnership with Capital Management and project teams.
* Coordinate with cross-functional stakeholders including COE, project teams, controls, SMEs, technical leads, and senior management to enable timely reviews, approvals, and document distribution.
* Facilitate workshops and stakeholder discussions to gather inputs, validate content, integrate data sources, and support reporting requirements.
* Manage document control processes including version control, filing, naming conventions, compliance standards, and secure archiving in line with organizational policies.
* Support change management activities by communicating document revisions, assessing impacts on scope and schedule, and tracking dependencies, non-compliances, and issue resolution.
* Prepare executive-level reports and insights such as status reports, dashboards, scorecards, decision memos, and summaries, while improving reporting processes and data integrity.
* Demonstrate strong communication and stakeholder management skills, with the ability to simplify complex technical content, manage multiple priorities, and build effective relationships across teams and senior leadership.
Qualifications & Experience:
* Bachelor’s degree in Architecture, Construction, Engineering, Project Management, or related field.
* 7–10+ years supporting program/project management for strategic real estate projects, including office fit-outs; live trading or GC office refurbishment experience preferred.
* Strong understanding of the real estate project lifecycle, capital projects, documentation, and reporting practices.
* Experience developing program documents and audience-specific reports across real estate project types.
* Experience in a global organization, COE, GPMO, or strategic owner-side environment preferred.
